How we handle your personal data

This notice explains what we collect when you contact us, register interest in a watch, or ask us to value one — why we collect it, how long we keep it, and what you can ask us to do with it. It is written to be read, not to be waded through.

Who we are

KP's Watches Ltd is the data controller for the information described here. We are registered in England & Wales, company number 13561069.

What we collect and why

We only collect what you type into a form. We do not buy contact lists, and we do not track you around the internet.

Contact form

What
Name, email address, phone number if given, preferred contact method, and your message.
Why
To answer your question and keep a record of the conversation.
Lawful basis
Consent, which you give by ticking the box on the form.

Watch enquiry

What
The same contact details, plus which watch you asked about.
Why
To answer questions about a specific timepiece and follow up if you ask us to.
Lawful basis
Consent.

Register interest in a sold watch

What
Your email address, the watch you were interested in, and the specification you are looking for.
Why
To contact you only if a similar watch becomes available. We do not use it for anything else.
Lawful basis
Consent, which you can withdraw at any time using the unsubscribe link in any email.

Sell a watch / valuation

What
Name, email, phone, postcode, details of the watch including the last four digits of its serial number, photographs you upload, and your ownership confirmation.
Why
To assess the watch, give you a valuation, and progress a purchase if you decide to sell.
Lawful basis
Consent for the valuation itself; where a sale proceeds, performance of a contract and our legal obligation to keep transaction records.

Anti-spam check

What
A one-way scrambled code made from your IP address and email address. We do not store the IP address itself.
Why
To spot duplicate and automated submissions.
Lawful basis
Our legitimate interest in keeping the forms usable.

Cookies and tracking

The public pages of this website set no cookies. We use no analytics, no advertising pixels and no social media trackers, so there is nothing here for you to consent to or switch off.

The private admin area, which only we can reach, uses strictly necessary cookies to keep that session signed in.

Marketing emails

We only send marketing email to people who have asked for it — either by registering interest in a watch, or by ticking the optional box on the valuation form. We never add anyone to a list because they simply enquired.

Every marketing email carries an unsubscribe link, and acting on it stops those emails immediately. You will still receive direct replies to enquiries you send us, and messages about a sale already under way.

How long we keep it

We do not keep personal data indefinitely. These periods run from the last activity on a record, so an ongoing conversation is never deleted mid-flow. Deletion is automatic.

Who else sees your data

We do not sell your data and we do not share it for anyone else's marketing. It is handled by a small number of service providers who act on our instructions only:

Some of these providers process data outside the UK. Where that happens it is covered by the safeguards in their data processing terms, such as the UK International Data Transfer Addendum. We may also disclose data where the law requires it.

How we protect it

Data is encrypted in transit. The admin area is restricted to a single authenticated account, uploaded photographs are served from access-controlled storage, and credentials for connected services are encrypted at rest. IP addresses used for spam checks are scrambled one-way and never stored in readable form.

Your rights

You have the following rights over your personal data. Exercising any of them is free, and we will respond within one month.

Access
Ask for a copy of the personal data we hold about you.
Correction
Ask us to fix anything inaccurate or incomplete.
Erasure
Ask us to delete your data where we have no continuing reason to keep it.
Objection
Object to how we are using your data, including for direct marketing.
Restriction
Ask us to pause using your data while a concern is looked into.
Portability
Ask for the data you gave us in a machine-readable format.
Withdraw consent
Where we rely on consent, withdraw it at any time — this does not undo anything done beforehand.

To make a request, email info@kpswatches.co.uk. We may ask you to confirm your identity before we act, so that we do not disclose your data to someone else.

If you are unhappy with how we have handled your data

Tell us first and we will try to put it right. Email info@kpswatches.co.uk with the word Complaint in the subject line, along with what happened and what you would like us to do.

We will acknowledge your complaint within 30 days, look into it, and tell you the outcome without undue delay.

You also have the right to complain to the Information Commissioner's Office at any time, whether or not you have raised it with us. You can reach the ICO at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

If we change how we handle personal data we will update this page and change the date at the top. Where a change is significant we will tell people it affects directly.
